There are roughly two ways to retrieve an email from your inbox, namely by deleting or archiving the message. But what is the difference between deleting emails and archiving emails? You can read here.

With both archiving and deletion, email can no longer be found in your inbox. But this is where the similarities stop.

Archiving an email can be seen as a less precise version of deleting it. The message disappears from your inbox and therefore disappears. But the e-mail was not completely lost: you will always find it in the archive.

Many mail services have a separate folder containing archived messages. Finding emails with Gmail is a little harder. You can always search for messages, but there is no specific archive folder. you will find the option All emails, next to your inbox. In addition to all the e-mails in your mailbox, here you will also find messages from your archive.

You can label emails in Gmail. For example, you can tag archiving can create. Mail you want to archive can be given this tag later.

Therefore, the mails in your archive are never automatically deleted. If your inbox is full, be sure to review your archived messages for emails you can send.

In Gmail, you will find archived mails under All mail. You can also create a label for the messages you want to archive.

Deleting an email is a somewhat permanent option to clear your inbox. When you delete a message, it disappears in the trash. After thirty days, you will have completely lost the e-mail. So, you have about a month to move your mail back to your inbox if you want.

Solution

If you always want to access all the emails you have had in the past, select the archive option. Note that this comes at the expense of storage space in your inbox. Google offers 15GB of storage divided into your inbox, Google Drive, and Google Photos. Emails with particularly large attachments are collected quickly.

Microsoft also gives you 15GB, but that’s just for storing emails. So, don’t make it a habit to always archive emails. If you know you will never open messages again, delete them immediately. This keeps your mailbox organized.
